The Editorial Specialist provides executive and strategic coordination and support to the Editor in Chief (EIC) for National Geographic.  The ideal candidate must be able to split time between managing administrative work for the EIC (including time, priority meetings, and travel/expenses), and providing support for strategic projects and initiatives across the entire Editorial organization. Candidate will assist in managing/scheduling delivery of editorial stories and major projects that span across teams and support the EIC in prioritizing workflow with all priority projects. He/she/they will also work closely with the EIC to create presentations, helping to format, design, and structure information, and acquire assets, contributing creatively and strategically to sharing proposals and strategy for both internal and external uses.

The Specialist will also serve in a project management function across the entire Editorial team.  This includes assisting the EIC with managing and tracking the delivery of key editorial features, including delivery against key milestones.  More broadly, you will be responsible for ensuring the seamless integration and alignment of efforts across multiple departments including Editorial Content Production, Growth Marketing, and Brand Franchise & Strategy. Your keen attention to detail, organizational skills, ability to manage complex projects, and communicate clearly and with authority will be crucial in developing content, coordinating with creative teams, and identifying amplification opportunities to maximize project outcomes.

Candidate ideally has some prior experience in the media/publishing space.

Responsibilities:

  • Efficiently manages the Editor in Chief’s (EIC) time, calendar, and communications, prioritizing action items across emails, calls, and meetings with both internal and external stakeholders.

  • Coordinates complex scheduling, including multi-time zone video conferences, relationship-building sessions, and strategic outreach, as well as preparing agendas and distributing materials in advance.

  • Maintains organized meeting files, distributes notes and action items, and handles in-meeting needs such as hospitality and IT support.

  • Arranges EIC travel, prepares detailed itineraries, and handles business expenses and invoices in Concur/SAP, while regularly reviewing departmental budgets and direct reports’ expenses.

  • Communicates clearly and effectively with departments, executives, and key stakeholders, while tracking staff lists, new hires, and coordinating personnel updates for the EIC.

  • Oversees the EIC Review process, tracking editorial stories through production, communicating progress, and scheduling key check-ins to keep projects on track.

  • Provides project management and administrative support for select editorial and strategic priorities, ensuring effective collaboration, timely delivery, and regular executive updates.

  • Builds positive relationships across National Geographic departments, supporting company goals, team culture, and the successful deployment of production and departmental needs, including organizing social gatherings.

  • Develops PowerPoint or Keynote presentations, reports, and analyses for internal and external audiences, supplying high-priority editorial content and data for brand-wide communications under tight deadlines.

  • Acts as a primary operational and administrative contact for editorial teams, managing office supplies, executive mail, shipping, facilities coordination, conference room technology, and resource direction.

Minimum Requirements:

  • Minimum of 2 years of administrative support experience

  • Upholds strict confidentiality and exercises sound judgment when handling sensitive information and making independent decisions.

  • Manages multiple high-priority tasks efficiently, remains detail-oriented, and meets tight deadlines with professionalism and composure.

  • Anticipates executive needs, maintains organized office systems, and manages files and information effectively.

  • Demonstrates a friendly, adaptable, and proactive attitude, working well with diverse personalities and responsibilities.

  • Collaborates as a team player, eager to learn about media production and stakeholder needs to better support requests.

  • Communicates clearly with senior executives, business contacts, and external partners, showcasing excellent interpersonal and administrative skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with strong typing skills; adaptable to new systems, including Keynote and Airtable.

  • Flexible availability, willingness to work overtime or outside regular hours as needed.

Preferred Qualifications:

  • Candidate should have a strong passion for Media/Publishing and should be familiar with a variety of industry concepts and practices

  • Ability to troubleshoot tech issues as they arise

  • Overall working knowledge with SAP and Concur systems

Education:

  • Bachelor’s Degree or work experience equivalent

*Please note, this role sits in our Washington DC office 4x/week, Monday – Thursday and works from home on Friday


The hiring range for this position in Washington, D.C. is $59,600.00 to $79,800.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
