We are seeking a highly organized and technically proficient Project Hire: Outdoor Immersive Events Specialist, Live Events and Licensed Partnerships to support the planning, oversight, and operational execution of licensed outdoor entertainment productions. This role will focus on managing day-to-day coordination and operational supervision of DTG-licensed experiences produced by external partners. This is a six-month position.
Reporting to the Senior Manager, Live Ticketed Events & Licensed Partnerships, this individual will serve as DTG’s operational liaison for all licensed outdoor show activations, ensuring that productions uphold Disney standards for safety, storytelling, technical execution, guest experience, and brand integrity.
The ideal candidate will bring experience in live entertainment operations, technical production management, outdoor event coordination, and cross-functional project leadership, with a strong ability to collaborate across internal stakeholders and external production partners.
Key Responsibilities:
Licensee Event Operations & Oversight
- Serve as DTG’s primary operational representative overseeing licensed outdoor show productions executed by external partners.
- Supervise operational planning and execution across all phases of experiences, from pre-production through on-site activation and strike.
- Ensure all productions meet DTG standards for safety, quality, storytelling integration, and guest experience.
- Monitor adherence to approved operational plans, production schedules, and technical requirements.
Outdoor Technology & Show Execution
- Oversee operational aspects related to technology systems and how they perform in an outdoor environment, safety protocols, show programming coordination and technical rehearsals.
- Coordinate with licensee technical teams to ensure all operations align with regulatory requirements, venue restrictions, and Disney operational standards.
- Participate in operational readiness reviews, rehearsals, and post-show evaluations to identify areas for improvement and risk mitigation.
- Work with Licensee and Internal creative partners to ensure creative vision is achievable.
Music Production & Show Integration
- Coordinate and oversee the recording, editing, approval, and implementation of music and audio elements associated with show productions.
- Collaborate with internal creative teams, licensors, composers, sound engineers, and production partners to ensure synchronization between music, choreography, and storytelling objectives.
- Manage timelines and deliverables related to audio production and show integration.
Live Performance & Character Operations
- Guide licensees through DTG’s operational and safety requirements related to live performers, staging support, backstage logistics, rehearsal coordination, costuming considerations, and guest interaction protocols.
- Coordinate with internal teams to ensure all live character elements align with brand standards and approved operational procedures.
- Support integration of live performers into outdoor event environments safely and effectively.
Permitting, Venue Coordination & Guest Operations
- Oversee Licensee’s coordination of permits and approvals required for show operations and associated event activities, including permits, local municipality approvals, food truck permits, fire safety approvals, and public event licenses.
- Coordinate with venue operators through the licensee, local authorities, security teams, transportation vendors, and event staff regarding parking plans, crowd flow, ingress/egress, ticket operations, and operational logistics.
- Ensure all operational documentation, insurance requirements, and safety plans are properly maintained and executed.
Cross-Functional Collaboration
- Partner closely with internal DTG teams including legal, security, finance, production, marketing, ticketing, and franchise management throughout event development and execution.
- Maintain strong working relationships with external licensees, vendors, technical operators, municipalities, and event partners.
- Facilitate recurring operational meetings, status updates, and project tracking documentation.
Reporting & Project Administration
- Maintain detailed project schedules, operational timelines, meeting notes, and tracking reports.
- Assist in budget tracking, vendor coordination, and reconciliation of operational expenses.
- Deliver post-event operational recaps and recommendations for future improvements.
- Other duties as assigned.
Basic Qualifications:
- 3+ years of experience in live event operations, technical production management, outdoor entertainment, experiential events, or related fields.
- Technical Operations: Familiarity with live show technology, outdoor event infrastructure, technical rehearsals, and production logistics.
- Project Management: Strong organizational and project coordination skills with proven success managing multiple concurrent workstreams.
- Communication: Excellent written and verbal communication skills with experience coordinating across internal and external stakeholders.
- Problem Solving: Adapts quickly in fast-paced live event environments and proactively resolves operational issues.
- Tools: Proficiency in Microsoft Office Suite and project management platforms such as Asana.
- Travel and Working Hours: Willingness to travel and support on-site event operations, including evenings, weekends, and holidays as needed.
- Detail-oriented and highly collaborative with a passion for operational excellence.
- Strong balance of creative awareness and technical problem-solving.
- Level-headed and resourceful under pressure in live event environments.
- Passionate about delivering innovative, world-class guest experiences through emerging entertainment technologies.
Preferred Qualifications:
- Bachelor’s degree in Event Management, Theater Production, Technical Production, Entertainment Management, or a related field.
- Experience supporting outdoor shows, live spectaculars, theme park entertainment, or immersive experiences.
- Experience working with licensed entertainment properties or studio-branded live events. Live performer coordination experience a plus.
- Knowledge of live entertainment safety standards, permitting processes, and municipal event coordination.

The hiring range for this position in New York, NY is $76,300 to $98,600 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
