As a Secretary I for Epcot Engineering Services, you will play a key role in supporting daily operations and enhancing team efficiency. In this role, you will provide essential administrative and operational support to leaders and internal partners, ensuring the seamless coordination of calendars, systems, and departmental initiatives. Whether managing reporting tools, supporting scheduling and recruitment efforts, or helping to deliver cast-focused programs, you will contribute meaningfully to the success of the team and the overall cast experience. This role offers a dynamic blend of organization, collaboration, and impact across a wide range of operational functions.
The Secretary I will report to the Manager of Engineering Services and sits in Lake Buena Vista, FL.
Responsibilities:
Provide front-line administrative support including phone coverage, calendar management, and coordination of meetings and appointments.
Prepare and format business documents such as letters, internal communications, presentations, and training materials.
Submit and reconcile expense reports; manage invoice processing and supply ordering using Coupa.
Partner with Casting to support recruitment lifecycle processes including job postings, candidate tracking, onboarding, and system updates for hourly cast positions.
Input and maintain accurate scheduling data for hourly cast members; oversee weekly schedule audits to ensure accuracy.
Generate, analyze, and distribute weekly departmental reports to support leadership and operations planning.
Manage and update Smartsheet applications for regulatory and operational programs, ensuring integrity across forms, dashboards, and reports.
Support cross-functional initiatives by entering gate clearances, updating leader schedules, and responding to ad hoc operational needs.
Coordinate logistics for cast service milestones, recognition events, and celebration programs.
Oversee conference room bookings and manage necessary facility upgrades or technical needs.
Basic Qualifications:
2+ years of experience in an administrative or office role, preferably supporting operations managers or cross-functional teams.
Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), as well as Smartsheet, Microsoft Teams, SAP, Casual Buyer, and Adobe Acrobat Pro, with a proven ability to quickly learn and adapt to new systems and tools.
Managing and editing cast and leadership schedules to ensure appropriate staffing levels and alignment with labor budget targets.
Technologically savvy and resourceful, with demonstrated skill in organizing, managing, and manipulating information across digital platforms.
Self-motivated and dependable, with strong follow-through and a proactive approach to task completion and problem-solving.
Highly organized and detail-oriented, with excellent prioritization and time management skills to manage competing deadlines in a fast-paced environment.
Proven ability to handle confidential information with discretion and exercise sound judgment in sensitive situations.
Collaborative team player with strong interpersonal skills and a demonstrated ability to build and maintain effective working relationships with internal teams and external partners.
Committed to delivering exceptional service and support, contributing to smooth operations and successful project execution.
Preferred Qualification:
Prior experience supporting Facilities and Operations Services, with a strong understanding of union contracts and related workforce considerations.
Proficient in internal systems including GEMS, MyTime, Coupa, and SPLAN, with the ability to navigate and utilize enterprise tools efficiently.
Required Education:
High School Diploma or Equivalent
Preferred Education:
Bachelors in Business Administration, Organizational Management, Hospitality Management, or related field.
