The youngest of all of the ILM studios, the Mumbai studio leverages the expertise and technological know-how developed over 40 years at Industrial Light & Magic combined with the top artists and technicians in the region. As we grow ILM Mumbai, we are seeking a System Department Coordinator to join the team and be a part of this exciting opportunity.
The System Department Coordinator is responsible for providing administrative assistance to the Leadership members of the Systems teams and the Systems IT and MSE Departments. Coordinates and facilitates purchasing for IT & MSE departments. Coordinates coverage and plans for technical maintenance. Manages special projects.
Primary Responsibilities:
Administrative/Departmental Duties
Sets up, coordinates and publishes notes for IT and MSE meetings.
Coordinates Systems department meetings including booking meetings, tracking invites and publishing notes.
Attends planning meetings with other departments when necessary.
Coordinates weekly on-call and after hours assistance for appropriate departments.
Track vacation and out of office requests for Systems departments.
Onboards new hires and trains new staff on dept operations
Manages office and administrative supplies for department
Coordinates and tracks requests from the Finance department including (but not limited to): expense reports, purchase requests, capital expense reports, petty cash, and check requests.
Hands on experience on Ticketing tools like (Jira, Zendesk etc)
Good to have basic knowledge\experience of IT infrastructure (Data Center\Storage\Network\Virtualization)
Hands on Experience in Windows\Linux OS
Special Projects or Events
Provides operational assistance for simple projects or events as needed.
Assists with preparation and execution of project or event logistics.
Coordinates and schedules service outages for maintenance and repair with engineering and production departments; communicate any planned outages with staff and production.
Assist the technical project manager(s) with project and task tracking.
Education / Experience:
Minimum 2-3 years of administrative or coordination experience in a technology or entertainment industry
Demonstrates exceptional customer service and social skills with confident, independent judgment.
Demonstrates consistency in accuracy and attention to detail.
Experience working with and comprehending IT and / or theatrical terminology and the production environment preferred
Required Skills / Technical Competencies:
Proficiency with Google apps, Microsoft Office, Keynote, Powerpoint, Quicktime and similar programs.
Familiarity with document sharing programs.
Demonstrates strong written and verbal communication skills; the ability to handle multiple tasks simultaneously and to work in a fast-paced, dynamic environment.
Proven ability to provide coordination and troubleshooting in a fast paced environment.
Demonstrated ability to handle confidential and classified information in a discreet, diplomatic, and professional manner.
Knowledge of Feature Production, VFX, Media/Editorial or IT environments a plus
